2. Information we collect
2.1 Information you give us
Account information β name, email address, password (stored hashed, never in readable form), and optionally a phone number and company name.
Address book β sender and recipient contacts you save, including names, street addresses, cities, postal codes, countries, phone numbers, and email addresses.
Shipment information β parcel weight and dimensions, contents description, declared value, shipping reason, pickup and delivery preferences, and, for international shipments, customs item descriptions, quantities, values, HS tariff codes, and countries of origin.
Payment information β see Section 3. We do not receive or store full card numbers.
Communications β messages you send to support, and any information you include in them.
2.2 Information collected automatically
Usage and device data β IP address, browser type, operating system, pages visited, and timestamps. We use this for security, diagnostics, and to understand how the Service is used.
Cookies and similar technologies β see Section 8.
2.3 Information from third parties
Carrier tracking data β status updates, scan events, and delivery confirmations returned by carriers for your shipments.
Address validation results β when you enter an address, we may check it against a mapping service to suggest corrections.
Payment confirmations β transaction outcomes, card brand, and last four digits from our payment processors.
3. Payment information β what we do not hold
We never receive, process, or store your full card number, expiry date, or security code.
When you pay by card, your details are captured directly by Stripe in a secure field on the payment page and transmitted to Stripe, not to us. When you pay by PayPal, your details are handled entirely by PayPal.
What we hold is limited to: a token that lets us charge the saved method again with your consent, the card brand, the last four digits, and the transaction outcome.
This means a compromise of our systems could not expose your full card details, because we do not have them.
4. Recipient information
When you ship a parcel, you give us the recipient's name, address, and sometimes phone number and email. We process this information because it is necessary to produce a shipping label and to hand the parcel to a carrier β the recipient's details are the reason the shipment exists.
We use recipient information only to:
- produce the shipping label and any customs documentation;
- transmit it to the carrier so the parcel can be delivered;
- validate the address and suggest corrections;
- provide tracking information back to you.
We do not market to recipients. We do not sell recipient information. We do not use it to build a profile of the recipient or to contact them for any purpose other than the shipment itself.
If you provide us with another person's information, you are responsible for having a lawful basis to do so.
5. How we use information
We use personal information to:
| Purpose | Examples |
|---|---|
| Provide the Service | Quote rates, buy labels, produce customs documents, track shipments |
| Process payments | Charge cards, manage wallet balances, issue refunds |
| Communicate with you | Order confirmations, label notifications, tracking updates, support replies |
| Keep the Service secure | Detect and prevent fraud, abuse, and unauthorized access |
| Comply with law | Meet tax, customs, export control, and sanctions obligations |
| Improve the Service | Understand which features are used and where errors occur |
We do not sell personal information, and we do not share it with third parties for their own marketing.
5.1 SMS messaging
If you provide a mobile phone number and opt in, we may send you text messages about your account and your shipments, including label creation confirmations, tracking and delivery updates, account and billing notices, and replies to support enquiries you have started. We do not send marketing or promotional text messages.
We do not share or sell your mobile phone number, or any consent you give to receive text messages, with or to any third party or affiliate for marketing or lead generation purposes. Phone numbers collected for SMS are used only to deliver the messages described above, and are shared only with the telecommunications provider that transmits them.
Opting in is entirely optional and is never a condition of using the Service. Message frequency varies. Message and data rates may apply. You can stop messages at any time by replying STOP, or by turning SMS notifications off in your account settings. Reply HELP or email support@klicnsend.com for assistance.
6. Who we share information with
We share personal information only as described here.
6.1 Service providers
| Provider | What it does | What it receives |
|---|---|---|
| EasyPost | Carrier integration, label purchase, tracking, insurance arrangement | Sender and recipient addresses, parcel details, customs data |
| Carriers (USPS, UPS, FedEx, DHL and others) | Transport and deliver parcels | Sender and recipient addresses, parcel details, customs declarations |
| Stripe | Card payment processing | Payment details entered by you, billing information |
| PayPal | Payment processing | Payment details entered by you |
| Shipsurance (via EasyPost) | Underwrites optional shipping insurance | Shipment and claim details where you purchase coverage |
| SimplyDuty | HS tariff classification and duty estimation | Item descriptions, values, origin and destination countries |
| Amazon Web Services | Hosting, storage, email delivery | All data stored by the Service |

Each provider receives only what it needs for its function. Carriers necessarily receive recipient details, because they deliver the parcel.
6.2 Legal and safety
We may disclose information where we reasonably believe it is required by law, legal process, or a governmental request, or where necessary to protect the rights, property, or safety of KNS, our users, or the public.
6.3 Business transfers
If KNS is involved in a merger, acquisition, or sale of assets, personal information may be transferred as part of that transaction. We will give notice before your information becomes subject to a materially different privacy policy.
7. Where information is stored
Our infrastructure is hosted on Amazon Web Services in the US East (Ohio) region, in the United States. Personal information you provide is stored there.
If you are located outside the United States, using the Service involves transferring your information to the United States, where data protection law differs from that of your country. By using the Service you consent to that transfer.
8. Cookies
We use cookies and similar technologies to:
- keep you signed in and maintain your session;
- remember preferences such as your selected currency and language;
- keep the Service secure;
- understand how the Service is used so we can improve it.
Most browsers let you refuse or delete cookies. Blocking cookies that are strictly necessary will prevent parts of the Service, including sign-in, from working.
9. How long we keep information
We keep personal information for as long as needed to provide the Service and to meet legal obligations.
| Data | Retention |
|---|---|
| Account information | While your account is open, then a limited period after closure |
| Shipment and label records | Retained for tax, customs, and dispute purposes |
| Payment records | As required by tax and financial record-keeping law |
| Unverified accounts | Deleted 7 days after creation if never verified |
| Support correspondence | A reasonable period after the matter is resolved |
Where we no longer need information, we delete it or render it anonymous.
10. Your rights
Depending on where you live, you may have the right to:
- access the personal information we hold about you;
- correct information that is inaccurate;
- delete your information, subject to records we must keep by law;
- object to or restrict certain processing;
- receive a copy of your information in a portable format;
- withdraw consent where processing is based on consent.
To exercise any of these, email legal@klicnsend.com. We will respond within the period required by applicable law. We may need to verify your identity first.
10.1 If you are in the EU or UK
Where the GDPR or UK GDPR applies, our legal bases for processing are:
- Performance of a contract β providing the Service you asked for;
- Legitimate interests β securing the Service, preventing fraud, improving the product;
- Legal obligation β tax, customs, export control, and sanctions compliance;
- Consent β where we ask for it specifically.
You have the right to lodge a complaint with your local supervisory authority.
If you are a recipient of a parcel and want to know what information we hold about you, contact legal@klicnsend.com. Note that we hold recipient information on behalf of the sender, and we may need to refer you to them.
10.2 If you are a California resident
Under the CCPA/CPRA you may request disclosure of the categories and specific pieces of personal information we have collected, request deletion, and request correction. We do not sell personal information, and we do not share it for cross-context behavioral advertising. We will not discriminate against you for exercising these rights.
11. Security
We protect personal information with measures including encryption in transit, hashed password storage, access controls, and infrastructure hosted with a provider maintaining recognized security certifications. Card data is handled by our payment processors under PCI DSS.
No system is completely secure. We cannot guarantee absolute security, but we work to protect your information and will notify you and any relevant authority of a breach where the law requires it.
12. Children
The Service is not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child has provided us with personal information, contact legal@klicnsend.com and we will delete it.
13. Changes to this policy
We may update this Privacy Policy. If a change is material, we will give reasonable notice by email or through the Service before it takes effect. The "Last updated" date at the top shows when it was last revised.
